This article describes the details Cloud Scan captures when it flags an image and explains how Cloud Scan manages ownership and access to a flagged image until it’s actioned by a Safeguarding Lead.
What information is captured in flagged images?
Cloud Scan provides pieces of information to help you review images appropriately. They show you when these images are shared, what kinds of flagged images are shared, and how many users have access to these images.

Scan results appear on the Media screen. Each flagged image contains the following details.

A thumbnail of the flagged image. Thumbnails help Safeguarding Leads quickly scan the flagged images and delete or mark them as safe in bulk. Note Cloud Scan does not show thumbnails for images categorised as Porn. |

| f | Scanned Date/Time | The date and time Cloud Scan scanned the image. Date and time follow the organisation’s timezone. |
| g | Status | The image’s scanning or review status. New images are tagged “New” and reviewed images are tagged “Deleted” or “Safe”. |
| h | File size | The image file size. File size limits are set in your cloud storage provider. |

What happens when Cloud Scan flags an image?
Cloud Scan manages access permissions to flagged images until you or another Safeguarding Lead has reviewed them. When an image is flagged:
- The user still owns the file.
- The Safeguarding Contact has a read-only or view-only access to the image.
- Permission for any other users who have access to the file is unchanged.
- If the Safeguarding Lead marks the image as safe, it stays in the cloud storage and is excluded from future scans, unless the image is edited.
- If a Safeguarding Lead deletes the image, it’s removed from the cloud storage.
Note
For images flagged before the 7th of November 2024, ownership remains with the Cloud Scan user account until these images are either marked as safe or deleted. Ownership reverts to the user when the Safeguarding Lead marks the image as safe.
